  3. The data backup takes few minutes to hours depending on the size of the data that needs to be archived. Smaller the data, lesser time it takes to complete the backup.

    To access the data backup option in Zoho Recruit, navigate to <\/span>Setup > Data Administration > Data Backup<\/span><\/b>. From here you can schedule and cancel your data backup.<\/span><\/span>

    Initiating/Scheduling a Data Backup

    You can choose to download the backup instantly or schedule it to take place at a specific time of your choice. Listed here are the options available for you, to choose when to backup your Recruit data.<\/span><\/span>

        File Format

        Your exported Zoho Recruit data will be in .CSV format, compressed in a single archived (*.ZIP) file. You can open the file in Text Editor or in spreadsheet program. Listed below are the steps to open the CSV file in Microsoft Excel;<\/span><\/span>

        Microsoft Excel 2007<\/u><\/h2>
        1. Open Microsoft Excel.<\/span><\/span>
          <\/span><\/li>
        2. In the <\/span>Data<\/span><\/i> tab, select <\/span>From Text<\/span><\/b> under the <\/span>Get External Data<\/span><\/u> section.
          <\/span><\/li>
        3. In the <\/span>Import Text File<\/span><\/i> dialog box, select the exported CSV file, and then click <\/span>Import<\/span><\/b>.
          <\/span><\/li>
        4. In the Text Import wizard dialog box, specify the following:

          1. File type:<\/span><\/b> Choose the file type as  "<\/span>Delimited<\/span><\/u>".
            <\/span><\/li>
          2. File Origin:<\/span><\/b> Select the file origin as "<\/span>Unicode(UTF-8)<\/span><\/u>", and then click <\/span>Next<\/span><\/b>.

          3. Delimiters:<\/span><\/b> Select the delimiter as "<\/span>Comma<\/span><\/u>", and then click <\/span>Finish<\/span><\/b>. You will be prompted to select the range of cells.

          4. Select the range of cells and the corresponding Zoho Recruit data will be imported in the spreadsheet.<\/span>

                Notifications

                Administrators are notified via pop-ups within Zoho Recruit when a backup is scheduled, ready for download or stopped. For scheduled backups, the file is made available for download on the specified date and the administrator who scheduled the backup gets a pop-up notification.<\/span><\/span><\/div>

                The Logs section will provides a chronological sequence of actions performed that are related to data backup. <\/span><\/span>

                The following instances will be logged along with When the action was performed and Who performed the action.<\/span>
                <\/span><\/div>
                1. When an admin initiates an immediate backup:<\/span><\/b> {Username} initiated an immediate backup<\/span>
                  <\/span><\/li>
                2. When an admin schedules a monthly backup:<\/span><\/b> {Username} has scheduled a Monthly backup.<\/span>
                  <\/span><\/li>
                3. When an admin schedules a biweekly backup:<\/span><\/b> {Username} has scheduled a BiWeekly backup.<\/span>
                  <\/span><\/li>
                4. When an admin schedules a backup every 2, 3, 4, etc. months:<\/span><\/b> {Username } has scheduled a backup once every {no of months} months.<\/span>

                5. When the scheduled backup is complete:<\/span><\/b> Backup archive is ready to download.<\/span>

                6. When the scheduled monthly backup is complete:<\/span><\/b> Monthly backup is ready to download from the archive.<\/span>
