CRM Hack #12: Lock down a pick-list value field for all users but for select few, once a specific value is selected




Hello Everyone !

Zoho CRM provides the flexibility to set up access permissions at field level. 

What if your business process warrants you to drill down a bit further? For instance, let’s assume your sales process involves obtaining legal clearance for select deals and the same needs to be tracked using a pick list capturing lead status. Say the pick list contains 8 values namely Attempt 1, Attempt 2, Contacted, Contact in future, Legal check, Legal cleared, Send Document and Document received. At a certain stage, the lead goes through the legal check stage and the field needs to be locked. How do you ensure that no one except for few users from legal team have access to edit the pick list whilst the legal check is on? 

This week’s hack utilises blueprint to meet this requirement. Read on for step-wise instructions. 


Step 1: Go to Setup->Blueprint->Create Blueprint for Leads module->Choose the layout and the Pick list field->Hit next.

Step 2: Drag and drop Legal check and Legal cleared field->Link the two fields->Give the transition name as "Approve legal"->Click on Before->Choose the two Legal team users->Click on During->Save the blueprint.



 

This hack is used in situations where the administrator doesn't want to create a blueprint process for all the fields but just for one field. This hack can also be included as a part of your current blue print process by making the necessary tweaks to field links and transitions. When the sales rep changes the status to Legal check, the field will be locked for them and only the users added in the "Before" option would be able to edit it. Once the legal team approves and sets the lead status to 'Legal cleared', the pick list gets enabled for the sales reps again and they can send the documents, and proceed further.
