We’re thrilled to share some powerful enhancements to the Zoho CRM approval process—designed to give you more flexibility, transparency, and control over how records are approved in your system.
✨ Edit Pending Approval Records – Keep data accurate by making changes to records even after submission for approval. No more locked records causing bottlenecks!
✨ Process Admins for Approvals – Assign designated admins to oversee and approve records, ensuring a streamlined and efficient approval flow.
✨ Role & Group-Based Approval – Choose whether anyone in a role/group can approve a record or require everyone’s approval before it moves forward.
✨ Hierarchy-Based Approvals – Align approvals with your organization’s structure, ensuring approvals follow reporting levels for better governance.
Let’s dive into these updates in detail!
Previously, once a record was submitted for approval, it was locked from edits. Now, you can make necessary changes while it’s still in the approval queue, allowing you to maintain accuracy without restarting the process.

Additionally, you can now assign Process Admins, who will have the authority to approve records, ensuring there’s always someone available to keep things moving smoothly. If no process admins are configured, administrators will retain this ability by default.

Previously, when selecting a role or group for approvals, any member could approve the record. Now, you can require approval from everyone in the group before the record advances.
For example:
👥 "Anyone" Option – Any single member of a group can approve the record.
👥 "Everyone" Option – Every member in the selected role/group must approve before the record moves forward.
This is great for situations where multiple stakeholders need to validate data before it progresses.

If your organization follows a reporting hierarchy, you can now ensure approvals align with reporting structures.
📌 If a user’s direct manager isn’t available, you can define whether anyone or everyone at higher levels should approve the record instead.
📌 You can configure whether CEOs or Admins have the final approval in cases where a user lacks a reporting manager.

Similarly, if your organization follows a role-based hierarchy, approvals will be aligned with that structure. When selecting levels for approval, the system will pull in users from the role hierarchy instead.
