The more we seek information from the customers, the more we solve their needs and gain their trust. However, reaching out to every customer to seek requirements, solve their issues, and gather feedback can be tasking.

Circulating a public form helps the external stakeholders or clients share their concerns or feedback without having any access to your workspace. Just create a public form and share it with the clients or embed it in your website or any other form. The clients can simply add all their data and submit the form, which will automatically be added as a work item in the respective project.

Upon proper review, the work item will be addressed by the workspace users. This will ensure that all clients are being heard and their requirements are resolved at the earliest, while the two parties do not spend time and effort on communication through other channels. This will create a hassle-free experience for the clients, while your team will rely on an internal, process-oriented mechanism to collect input and act on them.

Common usages of Public Forms in Agile platforms

Below are some of the common or most popular areas where the public forms is used to gather information from the external stakeholders or clients.

  4. Change requests

Idea
Let us take an example to know how the public form is used to gather sprint retrospective feedback.

After every sprint, the Scrum Master shares a Public Form with the development team and stakeholders. Team members submit suggestions such as:
  1. Improve sprint planning accuracy
  2. Reduce time spent on code review
  3. Automate regression testing
  4. Clarify acceptance criteria before development begins
Each suggestion is added to the project as a work item, making it easy to prioritize, assign owners, and track continuous improvement across future sprints.

Create Public Forms

  1. Navigate to Zoho Sprints.
  2. Go to Settings.
  3. Select Public Form under Customization.
  4. Click + Public Form at the top right. 

  5. Enter the form name, description, allowed domains.
  6. Select a project to which the work item should be added to.
  7. Click Create or Design Layout.
  8. Add the required fields and details to the layout.
  9. Publish the form.
Once the form is published, you can allow external stakeholders and clients access this form by embedding it to a webpage or directly with the form URL.
