Unique and Random IDs in Zoho Forms: Organize and Secure Your Data Efficiently

When it comes to form submissions, organizing and identifying entries effectively is crucial. Zoho Forms offers two versatile ID generation options for submissions: Unique ID and Random ID. Each serves distinct purposes, providing flexibility to meet diverse business needs.

What are Unique and Random IDs?

Unique ID: A sequential, automatically generated character assigned to each form submission. It is primarily used for systematic organization and easy tracking. For example, if the first submission is assigned "U001," the next submission will be "U002," and so on.

Random ID: A randomly generated character string attached to each submission; ideal for ensuring data privacy and providing a layer of security. For example, a submission could be assigned "R8G2XY9K" or something similar, with no predictable pattern.

When and where to use them

1. Unique ID: When sequence matters

Systematic tracking: Sequential numbering makes it easy to sort, reference, and organize submissions.

Use cases
  • Invoice generation for online orders.
  • Assigning ticket numbers for events or customer support.

2. Random ID: When security is key

Data anonymity: Protect sensitive data by removing sequential predictability.

Use cases
  • Registration forms for contests requiring confidentiality.
  • Unique coupon or referral codes for promotional campaigns.
