Using Zoho Projects as an educator: Review & Wish List

I'm a professor and since about August/Sept 2010 (almost a year) I've used Zoho Projects for team projects in my classrooms and for collaborations amongst academics at a distance.

Instead of posting multiple separate posts, I'd just like to share a list of the things I absolutely love and things I wish could be worked on. I have also posted a similar message (with a similar title) on my blog at http://edurhetor.wordpress.com -- without as much detail in the "wish list" part of this message.

My students and collaborators find it a little overwhelming at first, but most get used to it after a month of intense use, and by the end of a course students say it was essential for the success of their team project. The most frequently used areas are the Dashboard, Forums, and Documents tabs.  I explain more on my blog how I and my students use Zoho Projects if you are curious.

Account management Pros:
  • I love to pay a reasonable yearly fee to host unlimited free users in unlimited number of projects. It fits within my budget for the rich resources that come with Zoho. Other products are beyond my price range and/or don't have all the features and capacity I need.

  • Zoho support has been very helpful and prompt in replying.
  • Zoho account support has been helpful in adapting to my feature/pricing needs as an academic
  • Forums like this are awesome.
Feature Pros:
  • The "tab" structure works very well for keeping all its functions visible on the same page. 
  • I appreciate being able to have multiple projects open in multiple tabs of my browser.
  • I love the integrated individual and group chat. Many times this has saved me and my students time and misunderstandings, and it makes me more directly engaged with them outside the classroom. Many other project management apps lack this integration. 
  • It is beautiful that the chat window pops up no matter where you are in Zoho, that it's small and in the corner and can be popped out, and that the browser tab starts moving like ticker-tape to alert you that a chat has been initiated even if you are working in another window on your computer.
  • The color-coding and task meter on the dashboard are very helpful and motivating. 
  • The forum's integration with members' normal email is essential for functionality. 
WISH LIST:

Fortunately, as we can all see on this forum, Zoho listens very well to its customers and is continually adding new features and enhancing existing features. I have reason to hope that some of these requests will become realities in the next year or so.  Thank you Zoho in advance!

Documents

  • Documents need a more manageable folder and sub-folder system for organizing them, more like Box.net, which I also use for sharing files more openly amongst students and colleagues who are not on Zoho.  We need to be able to easily copy and move files into folders and sub-folders. Currently folders are more like categories or tags, and all documents appear in a continuous list which can become many pages long. Using "Search" should be a last resort; I want a tidy, organized space for files.
  • Clarify in the interface where a person should click to view versions and full file descriptions and upload a new version of a file.  It is not intuitive to click on the version number, which does not even look like a clickable link at present.
  • In Documents, collaborators need an option to red-flag or lock files down while editing them to prevent multiple versions proliferating when 2 or more people do edits simultaneously without knowing the other is doing this.  (Your Wiki allows for this one-at-a-time editing feature, but my students need to work within Microsoft Word files with all their special formatting features, since that is what they are submitting to me as the final product.)

Calendar

  • Google Calendar integration for non-paying users of Google apps. The ZP calendar is too limited compared to GC; I direct my users to our course's Google Site that hosts a Google Calendar instead.
Tasks & Milestones
  • Allow users to create simple to-do lists or other kinds of lists and engage with these tools at a simpler level.  Often my student team leaders start using this feature but then realize it is more work than it's worth and they simply have to stop entering and updating them. Not keeping up with these tasks & milestones makes the alerts and task meter confusing or irrelevant. It's a high-maintenance feature. It is very detailed and finicky.
  • It's challenging for a beginner to understand the vocabulary and structure. What is a "milestone" compared to the normal understanding of a deadline, and why does it always need a start date when it often does not matter when one starts it? Why associate task lists with certain milestones when they can also be independent of milestones?
  • In terms of "task dependencies" these take too much time and effort to understand and set up. We really just need to link tasks to each other or put them in chronological order in a list.
  • Why can't you just check off all of them like a checklist when they are done (rather than clicking a hidden drop down menu for all options to edit, close, etc.)? 

Forum

  • Forum formatting glitches occur with spacing and bullets when replying to Forum posts from email; this should be cleaned up because it makes the writer look unprofessional and can make message reading difficult.
  • Forum should allow users to deselect people originally notified in the original post. Currently, if you want to reply only to one or two users after 5 have been notified, you have to start a completely new forum post.

Chat

  • Make it clearer that users can view their chat history by going to the zoho chat app
  • Make pop-ups identify when they are from group chat rather than individual chat

Sign-up

  • Clear step by step instructions are needed for non-Zoho users to sign up for Zoho and enter my project and edit their profile. It actually takes about 4-5 steps, so it needs to be simplified. Some students choose to sign in using a Google or Yahoo account and then can't enter my project because it's affiliated with a different email address than the one I used to invite them. I had to create my own help website.  In comparison, Box.net makes signup really easy and quick for users invited to collaborate on a folder.

Customization

  • Ideally I'd like a blank tab I can customize where I can post messages, feeds, and widgets of my choice. The announcement feature does not give me, the project manager, enough room to orient and guide my team and provide a set of handy links to other sites and apps we use in our projects.

Mobile

  • Some degree of mobile interface for Zoho Projects -- at least the dashboard and forum.
Thank you Zoho for a powerful and useful application that has made my professional life much more productive and manageable.  I look forward to seeing updates to features over time.
