Continuing from our previous post, we are back with some more features for GDPR in Zoho CRM.
Handling Data Subject Requests
Data subjects can exercise their rights through portal or through email and phone calls. You can now keep track of your data subjects' requests and address them in a timely manner from within Zoho CRM.
Go to the Data Privacy tab in the record details page (for GDPR enabled modules) and you will now see a section called Data Subject Requests. When you receive the request through phone or email, you can manually add it from the record details page. When your subjects add a request via portal, the request is automatically captured against their record inside Zoho CRM. Once the request is added, appropriate actions can be initiated to address the request based on its type.
For example, when you add a new Request to export data, you will immediately be prompted with three buttons to honor the request - Send Email, Close Request and Delete Request. By clicking Send Email, you can type in your content in the email pop-up where the record is automatically attached as a CSV file. You can delete the request or even close it once it has been addressed.
You can track your data subject requests even in the Overview dashboard from Setup > Compliance Settings > Overview.

GDPR Compliance Preferences
We have now added more settings for consent and personal data handling under the preferences tab of your GDPR Compliance settings.
Waiting Period:
When you choose consent as the lawful basis to process data of your data subjects, you can send a consent form to obtain their consent in Zoho CRM.
Under Consent Settings, you can now specify a waiting period to obtain the consent. And when this waiting period is over, the record will be moved to the Not Responded status and will be automatically locked.
Actions when consent is not obtained:
You can also choose what you want to do with a record when the consent is in pending or waiting stages. You can choose to:
- Process data as usual
- Stop processing data
- Restrict certain actions like Email, Call, Edit, Data access through API etc.
Personal Data Handling:
Under Personal Data Handling, you can restrict the data stored in the personal fields from being transferred to other Zoho apps, Third party apps, API and through exports.
