This post will highlight the benefits of using Zoho Forms and the importance of integrating Zoho Forms with Zoho CRM
Using Zoho Forms, you can create a customized form, suitable for your business requirements and send it to your customers for collecting information. Creating a form is simple using the WYSIWYG (what you see is what you get) editor, which allows you to drag and drop the required fields onto the form builder. Whereas in Zoho CRM, all your customers' details are stored. An integration of the two requires you to set up a few things in both the products.
On setting up the integration in Zoho Forms
When the form is submitted, the details can be captured as:
- A new record
- A related list to a record
Adding Zoho CRM field in the form allows you to:
- Pull record information from CRM onto your form.
- Update existing records upon form submission.
Moreover, the form submissions can execute various actions such as:
- Triggering CRM Workflow Rules - If you have created any workflow rules in your CRM, choosing this action triggers those workflows upon form submission.
- Adding Attachments - Attachments added in the form, will be captured as attachments in Zoho CRM, upon form submission.
- Sending entries for approval - Instead of directly adding the form submissions as a record in the chosen module, you can send the records for approval.
- Triggering GCID - It determines the ads that brought the lead or contact to your form.
- Upserting records - Upon submission, if a record with identical values exists in your CRM, they will be updated. If not, they will be added as a new record.
- Triggering Assignment Rules - If you have created assignment rules in your CRM, choosing this action triggers the appropriate assignment rule upon form submission.
On setting up the integration in Zoho CRM
- You can share the form to your leads or contacts via email or by using email templates.
- Once you send the form to your leads or contacts, they can view the form with their data already filled (pre-population).
Let's understand the uses of the integration with examples
Case 1: After configuring from Zoho Form
Let's say you want to pull out the contact number of your customers to enquire about their workshop preferences and capture them in CRM. Here's how you can do that using Zoho Forms
Upon adding the Zoho CRM field, a pop-up appears from where you choose the Module, Layout and the Field from the drop-down list. The field chosen from the drop-down will be used to search the records from CRM.
Under field mapping, map the fields of Zoho CRM with Zoho Forms so that when you search for a record using the lookup field, the record's details will be displayed in the appropriate fields in the form.
In the form, simply search for Craghead (the record) in the lookup field and the details will be populated. Now you can call Craghed using the contact number and update the workshop preferred and submit. This data will be updated in CRM. Likewise, you can do this for the other participants.
Case 2: After configuring from Zoho CRM
Integrating Zoho Forms from CRM, allows you to send a form to your customers with certain data already filled. They can make the changes required which will be captured in CRM upon submission.
Let's look at this scenario,
Zylker, a telecommunications company sets up a trade show for its newly launched products. They capture a good number of leads and few weeks later the product manager decides to send an invitation via email to these leads for couple of workshops that they are conducting. All these customers have to do is to choose the workshop they are interested in and submit the form.
The customers would surely find it monotonous and tedious to fill their details all over again. To overcome this, Zylker uses this integration that helps in pre-populating the customer's data that were present in CRM to the form.
After a month, the manager wants to update the address and other communication details of all his customers. Hence, he creates the form, pre-populates the basic details and integrates it such that, the existing entries of the customer gets updated upon form submission.
How to share the form with your customers?
You can share the form with your customers by:
Including the Zoho Form URL in the email template: This helps if you want to send the form to a selected set of records.
Adding the forms link within the email: To send the form to a particular lead or contact, simply insert the form link in your email and hit send.
