Best app project business flows

As a business our structure/business flow for a clients project is near enough identical and repetitive for each project. E.G once task 1 is done it would always be task 2 next.

I wanted to build task automation/notifications that tasks are triggered for our users when other tasks are completed in our journey.

One thing that is never the same though is our timelines on tasks, as we may have delays due to third party issues, so is projects still the best way to set this up as Im supposed to allocate time/days for how long tasks should take.

My thinking was to create a template on Zoho Projects that we can just assign to a new lead/contact for every new project enquiry that comes in that we begin.
Or would the best thing to do to create a blueprint/workflow in CRM. ( my only concern is the business flow template for us is about 90 steps)
