Our non-profit has a need to make it easy for volunteer managers to e-mail specific groups of contacts within a hierarchy. We need to import revised contacts 2 or 3 times per year. Being able to share these contacts within the hierarchy will be useful in many ways but the primary need will be to create these groups once and make it easy for everyone else to use them for sending messages to specific groups.
It looks there is more than way we could use the zoho e-mail architecture to accomplish this but are looking for assistance selecting the best way.
1) Is it best to import Organization contacts into the groups? It looks like the group part cannot be a field in the import and must be manually created by individually importing each, separate group.
2) Would it be a better option to create and import an e-mail group for each group/sub-group? Can e-mail groups have sub-groups so that the contacts in each sub-folder are included if the parent group is selected for the message?
Example:
Given these type of groups/sub-groups:
Parent group 1: (40 to 60 contacts)
Child Group A - (10 to 20 contacts)
Child Group B - (10 to 20 contacts)
Child Group C - (10 to 20 contacts)
sub-child group a - (5 to 10 contacts)
sub-child group b - (5 to 10 contacts)
Parent Group 2: (40 to 60 contacts)
Child Group A - (10 to 20 contacts)
Child Group B - (10 to 20 contacts)
Child Group C - (10 to 20 contacts)
sub-child group a - (5 to 10 contacts)
sub-child group b - (5 to 10 contacts)
The user should be able to send a message to ALL contacts by selecting "Parent Group 1" and "Parent Group 2"
The user should be able to send a message to ONLY the contacts in Parent Group 2: Child Group C: sub-child group b by selecting only that group/folder.
The user should be able to select any mix of parent groups and/or child/sub-child groups.
Any thoughts on the best way to accomplish this flexible sharing of contact lists is appreciated. Thanks!
