CRM x WorkDrive: We're rolling out the WorkDrive-powered file storage experience for existing users

Release plan: 

Gradual rollout to customers without file storage add-ons, in this order: 
1. Standalone CRM 
2. CRM Plus and Zoho One 

DCs: All | Editions: All 

Available now for: 

- Standalone CRM accounts in Free and Standard editions without file storage add-ons (All DCs).
- Standalone CRM accounts in Professional edition without file storage add-ons (All DCs).
This will be rolled out to accounts with other editions in the future. Please check this section for updates.

Hello everyone,

A modern user interface, advanced file management capabilities, and more economical storage are now available within your CRM.
Newer signups have been enjoying this experience for a while, as mentioned in this announcement. Now you can access it as well.
  1. Schedule the migration by choosing a WorkDrive account and picking one of the available slots. These are the two actions required from your side.
  2. At the scheduled time, the migration will happen automatically. Your files and folders in the Documents tab and record attachments will be moved to WorkDrive.
  3. When the files and folders in your Documents tab are being migrated, the Documents tab will be inaccessible. You can access the rest of the CRM throughout the migration process.
We know this took longer than expected, but we had to proceed with caution when replacing such fundamental technology in Zoho CRM. We appreciate your patience during the previous few months.

How do I do migrate?

  1. If you're an account admin, you'll see a pop-up when you log in.
  2. Pick an open time slot and read the pre-migration guide.
  3. Select the WorkDrive account you want to link to the CRM. If you don't have one, a free WorkDrive account with the Essential plan, with storage of 5 GB for the organization and additional storage per CRM user license based on edition (512 MB/user license for Standard and Professional, 1 GB/ user license for Enterprise and Ultimate), will be created and connected to your CRM.


You can schedule/re-schedule/cancel the migration by navigating to Setup > Data Administration > Storage > File Storage.

All admins can expect email and in-product notifications when:
  1. The migration is scheduled, re-scheduled, or canceled.
  2. The migration starts.
  3. The migration is complete for files and folders in the Documents tab.
  4. The migration is complete.

What happens at the time of migration?

  1. You can continue working in the CRM; the process will happen in the background.


  2. The Documents tab will be inaccessible when its files and folders are being migrated. Admins will receive a notification when this is completed.


  3. You can check the status of the migration at any time.


  4. You'll receive a notification once the migration is completed.


I'm an existing user, but I don't see this option. Why?

  1. This is being released for existing users in phases.
  2. Right now, it's available for those using the standalone CRM (i.e., not CRM Plus or Zoho One users) and have not purchased any storage add-ons.
  3. If you're a Zoho One user, a CRM Plus user, or a CRM user who has purchased storage add-ons, we're working on rolling this out to you soon.

I'm an existing user and I'm using the old WorkDrive extension. What should I do?

We've removed the old extension from the Marketplace because future updates will be made to this new CRM-WorkDrive integration alone. But we understand that you may have complex workflows built on the old extension. You can continue using the old extension alongside the integration to avoid disruptions in such cases.
