Controlling who can send emails to your groups is an essential part of managing group communication in any organization. With Zoho Mail's Advanced Group Settings, administrators can regulate inbound emails at both the address and domain level using Email Restrictions and Domain Restrictions. These settings ensure that your groups receive only the emails that align with your organization's communication policies.
Email Restrictions is a configuration option available in the Advanced Settings of each email group in Zoho Mail. It allows administrators to add specific email addresses and define how emails from those addresses should be handled. Admins can define whether these emails should be allowed, held for moderator approval, or rejected.
Domain Restrictions works similarly, but applies rules at the domain level. Administrators can add an entire domain and configure an action for all emails received from those domains. From allowing trusted partner domains to rejecting emails from unwanted sources, every restriction can be customized to aid your organization's needs.
Both settings are available in the Advanced Settings section of each email group in the Zoho Mail Admin Console.
Email Restrictions and Domain Restrictions in Zoho Mail give administrators the ability to define how inbound emails are handled for each group. Allow emails: Emails from the specified addresses or domains are delivered to the group directly.
For example, you can allow emails from a trusted partner domain so their messages always reach the group without any interruption.
Hold emails for approval: Emails from the specified addresses or domains are held in a moderation queue for review before being delivered to the group. This is useful when you want a moderator to review emails from external senders before they reach your internal team.
Reject emails: Emails from the specified addresses or domains are blocked and will not reach the group.
For instance, you can reject emails from known spam domains to prevent unwanted messages from flooding your group inbox.
Log in to Zoho Mail Admin Console.
Select Groups from the left menu.
All the groups you are a part of will be listed here. Click on any group from the list.
Click on the Advanced Settings section from the left pane.
Select Email or Domain Restrictions based on the requirement.
Click +Add and choose any of the given options to allow, hold, or reject the emails.
Once done, click Add to apply the email or domain restrictions.
