Hi Zoho Team,
We’d like to submit a feature request regarding the current behavior of Zoho One’s conditional assignment logic when moving a user between departments.
As it stands, Zoho One’s conditional assignment does not remove users from previously assigned departments or their associated configurations
This results in users retaining access to outdated app configurations from their previous department even after being reassigned, which can lead to inconsistent access, permission issues, and user confusion.
We request that Zoho One's conditional assignment be enhanced to fully reflect a user's current department assignment by performing the following actions automatically:
Remove the user from any apps or configurations tied exclusively to the previous department.
Add the user to the apps, permissions, and settings configured for the new department.
In shared apps:
Remove old department-specific settings.
Apply the correct settings relevant to the new department.
Ensure that this update occurs seamlessly and consistently across all integrated applications whenever a department change is made via conditional assignment.
Each department in an organization often has:
Different app access
Different roles or permissions
Different logic for chat handling, training content, or data access
Without automatic cleanup and reassignment:
Agents may have outdated or incorrect access.
Manual intervention is needed across multiple apps.
Workflows break down, and users may appear in the wrong teams or channels.
Ensures data security and access control consistency.
Reduces manual admin work.
Prevents users from accidentally operating with outdated permissions.
Improves scalability and usability of Zoho One for larger or fast-changing organizations.
We believe this enhancement would significantly improve the reliability and automation of the Zoho One platform.
