Power of Automation: Automating Task closure when associated Issues are resolved.
Hello Everyone,
A Custom Function is a user-written set of code to achieve a specific requirement. Set the required conditions needed as to when to trigger using the Workflow rules (be it Tasks / Project) and associate the custom function to it.
Requirement:-
As per design, it is possible to associate multiple issues (bugs) to a task. One of our customers wanted to automatically update the status of the Task to closed once all the associated issues are closed. This automation was implemented using Custom Functions in Zoho Projects along with Business rules.
Below is the custom function code for reference.
Custom function code:-
endPointV3 = "https://projects.zoho.in/api/v3/portal/"[;](https://projects.zoho.in/api/v3/portal/%22;)
endPoint = "https://projects.zoho.in/restapi/portal/"[;](https://projects.zoho.in/restapi/portal/%22;)
portalId = "YYYYYYY"; // replace with your portal Id
closedTaskStatusId = "";
url1 = endPointV3 + portalId + "/projects/" + projectId + "/bugs/" + issueId + "/associated-tasks";
getAssociatedTaskResponse = invokeurl
url :url1
type :GET
connection:"XXXXXXX"
];
for each associatedTask in getAssociatedTaskResponse.get("associated_tasks")
{
taskId = associatedTask.get("task").get("id");
closeCount = 0;
allBugsResponse = invokeurl
[
url :endPointV3 + portalId + "/projects/" + projectId + "/tasks/" + taskId + "/associated-bugs"
type :GET
connection:"XXXXXXX"
];
associatedBugsSize = allBugsResponse.get("associated_bugs").size();
for each bug in allBugsResponse.get("associated_bugs")
{
if(bug.get("issue").get("status_name").containsIgnoreCase("close"))
{
closeCount = closeCount + 1;
}
}
if(closeCount == associatedBugsSize)
{
// Get task layout details
taskLayoutDetailsResponse = invokeurl
[
url :endPoint + portalId + "/projects/" + projectId + "/tasklayouts"
type :GET
connection:"XXXXXXX"
];
statusDetails = taskLayoutDetailsResponse.get("status_details");
for each status in statusDetails
{
if(status.get("name").containsIgnoreCase("Completed"))
{
closedTaskStatusId = status.get("id");
}
}
// update task
updateTaskParameter = Map();
updateTaskParameter.put("custom_status",closedTaskStatusId);
updateTaskResponse = zoho.projects.update(portalId,projectId,"tasks",taskId,updateTaskParameter,"connectionprojects");
}
}
Make sure to replace XXXXXXX with the Zoho Projects connection link name with scope Zohoprojects.Bugs.all, Zohoprojects.Tasks.all and replace YYYYYYY with your Portal Id. Check this link to learn how to create the connection.
Also, a screenshot of the sample Business rule along with arguments to be mapped is attached for reference.
