we are a small governmental agency that organises a lot of events (physical and online).
So far, we have handled registrations via Zoho Forms, as this gives us maximum flexibility while being easy to set up for our employees, easy to embed on our website and easy for our clients to use.
The drawback seems to be that while the contacts records get automatically added to the CRM, there is no built in way to track which events a particular individual has already participated in. We have worked with tags so far and assigned a tag for each event, but as the number of events grows, so does the list of tags. As we use tags for other things as well, this is not a sustainable solution.
One possibility would be to use Zoho Backstage for every event. As far as I know, backstage registrations are recorded in the contact's related lists. This would be ideal. However, I don't have a lot of experience with backstage and the tool seems to be quite a bit more convoluted than a simple Zoho Forms, which is why we haven't made the switch yet.
This leads me to the point of discussion:
Can anyone think of a better way to track event attendance via the CRM? Maybe there is a built in functionality in the CRM which I haven't discovered yet. I don't insist on using Forms for registrations, however a solution with Forms would be appreciated. The only real criteria is that we wish to be able to see:
- which events a particular user has attended
- which users have attended a particular event
- registrations should automatically be linked with the respective contacts
I'm curious to hear your suggestions!
