Tracking participants' availability within the Zoho CRM mobile app

Availability of people is something which is hard to find these days. Keeping track of it is altogether a different story. On the Zoho CRM mobile app, we can track the meeting invitation status of the participants within the meeting record.

 

Before diving into the steps, please allow me to brief who the participants are and their roles in Zoho CRM.

  • Participants are the people who are invited to a meeting. They are also called as Invitees.
  • In CRM, a user can add the leads, contacts, users (colleagues), Device contacts (mobile device contacts) as the meeting participants.
  • Users can also add non-members/ contacts available on the mobile device (who are not available on the CRM).
  • Upto 50 participants can be added to a single meeting.
How to add participants to a meeting on the Zoho CRM mobile app.

 

To add participants to a meeting, please follow the steps mentioned below:

  1. Go to the Zoho CRM mobile app.
  2. Go to the Meetings module.
  3. Tap the + icon to add a new meeting record. (You can add participants to new meeting as well as the existing meeting. In case you would like to add participants to an existing meeting, please go to the respective meeting record and tap the 'Invitees' related list within the record to add the participants).
  4. Tap the 'Participants' field and add the respective participants. Ensure the option 'Invite by Email' is checked.

Adding a participant to a meeting
After saving the meeting record, the participants will receive the meeting invitation email describing the duration of the meeting along with the number of participants at their end. The meeting invitation email has options to 'Accept', 'Decline' and 'Maybe' option to respond to the invitation.

If the recipient (participant) responds to the meeting invitation by selecting any of the above mentioned options then the same will show up within the respective meeting record.

When the participant selected 'Maybe' option
When the participant declined the invitation

Also, participants can change the status of invitation multiple times before the meeting starts and the changes he/she makes will reflect in the respective meeting record on the app.
