Most software assumes you'll keep using it forever.
Meera's studio went quiet for four months while she took a full-time contract. In the third month, she received an inactivity warning email and realised she hadn't thought about what would happen to her Zoho Invoice organization if she stayed away.
Whether you're taking a break, moving records to another organization, or closing an account, knowing what to do beforehand can save you a lot of trouble later.
Covered in our published General FAQ, with details in Import and Export and Data Backup.
You can export your records by module, including Customers, Items, Invoices, Payments and Credit Notes, as CSV or XLS files from the relevant list views.
It's a good habit to keep a backup even when you have no plans to leave. A current export gives you a copy of your records if you need to restore information, move data or review older transactions.
You may be facing one of these:
I received an inactivity warning email.
My organization was deleted after a long gap.
I need to move records from one organization to another.
I'm not sure whether to delete an organization or close my Zoho account.
Let's look at what to do in each situation.
I received an inactivity warning email Haven't used your Zoho Invoice organization for a while? You may receive an inactivity warning because, under Zoho Invoice's policy, an organization that remains continuously inactive for 180 days is scheduled for automatic deletion.
Don't worry if you've received a reminder email. Zoho will send you a couple of reminders before the actual deletion takes place (with a 10-day interval and 10 days of grace time). However, if the organization is not accessed after all the reminders, the organization and its associated data will be deleted.
Here's what you should do to keep your organization active:
Sign in to Zoho Invoice. Open your account and access the organization mentioned in the warning email.
Check your records. Confirm that your organization and its data are accessible. You don't need to create a new record in Zoho Invoice; just accessing the right organization would be sufficient.
Back up your data. If you're planning to pause your business or won't need Zoho Invoice for some time, export your records and download copies of your issued invoice PDFs.
Pay attention to subsequent reminders. If you receive another inactivity warning, don't ignore it. Follow the instructions in the email and access your organization before deletion takes place.
If you no longer need the organization, consider taking a full backup of the records you want to retain before taking any action.
My organization was deleted after a long gapIf you can no longer find your organization and believe it was deleted due to inactivity, first look for the email notifications Zoho Invoice sent to your organization's registered email address. These emails can help support check whether restoring your organization may be possible.
Check your registered email address. Look for an email with the subject “Important: Your organization, <Org Name>, in Zoho Invoice is inactive and scheduled for deletion – Review Now”. Zoho Invoice sends multiple reminders before proceeding with deletion.
Look for the deletion confirmation email. After the reminders, you may have received an email with the subject “Your organization, <Org Name> has been deleted”. This email includes your organization name and organization ID.
Check all email folders. If you can't find these messages in your Inbox, check your Spam and Junk folders as well.
Contact support. Email support@zohoinvoice.com from your registered work email. Share the inactivity reminder and deletion confirmation emails, if available, and include your organization name, organization ID, and registered email address.
Ask whether restoration is possible. Explain when you last accessed the organization and when you noticed it was missing. The support team can check the details and advise whether restoration is feasible.
Since recovery may depend on your organization's deletion details, contact support as soon as possible.
Please note: Restoration is subject to feasibility and confirmation by the support team. If restoration is possible, the process usually takes around one week.

Moving records between organizations generally involves exporting them from the source organization and importing them into the destination organization. It isn't a direct transfer of the entire organization.
Before starting, make a backup of your existing data.
Prepare the destination organization.
Import Customers and Items first so the related records are available.
Import Invoices and then Payments, mapping the fields as required.
Review the imported records for missing fields, rejected rows and incorrect associations.
Compare key totals and transaction records with the source organization.
Not everything necessarily carries over. Numbering continuity, activity history and the connection between an invoice and the email originally sent for it may not be preserved.
If you're moving because two organizations should really be one, assess the implications before proceeding. The earlier you plan the move, the easier it is to avoid duplicate records and disrupted numbering.

These are two different actions, and it's important to understand the difference before proceeding.
Deleting an organization in Zoho Invoice
Deleting an organization means deleting that specific business entity in Zoho Invoice. It affects only that organization and its associated data. Your Zoho account remains active, and your other Zoho Invoice organizations and other Zoho services remain unaffected.
Please keep in mind:
Only an administrator of the organization can perform the deletion.
Deletion is permanent and cannot be reversed. The organization and its associated data will be permanently deleted.
Deleting a Zoho Invoice organization can also be performed when you decide to start afresh or when you decide to reset your business from scratch.
Closing your Zoho account
Closing your Zoho account is a much broader action. It terminates your access to all Zoho services associated with that account, along with their associated data. This affects more than just Zoho Invoice, so consider the implications carefully before proceeding.
Before taking either action:
Download PDFs of your issued invoices and any other documents you need to retain.
Check whether you have other organizations or Zoho services linked to the same account.
Review the details in Privacy and Security.
Proceed only when you're certain which action you need.
Remember: If you only want to remove one Zoho Invoice organization, delete that specific organization rather than closing your entire Zoho account. Since organization deletion is permanent, make sure you've backed up the data you need before proceeding.
On your phone: Signing in through the app may count as activity, but exporting and importing records are web-based tasks. If you're planning a move or taking a long break, use the web version to complete your backup.

Before contacting support:
Export your data first, wherever possible.
Check the organization you're accessing before assuming records have disappeared.
Download PDFs as well as data files. A data export may not include the actual invoice documents your customers received.
Keep your account details handy, including the organization name, registered email and the last date you accessed it.
Still stuck? Send support@zohoinvoice.com your organization name, registered email and the date you last used the account. Explain whether you're dealing with an inactivity warning, a missing organization or a planned move.
Have you ever returned to an account after a long break? What did you find when you logged back in?
