During the 4+ years I have been a ZCRM user I have been frustrated by the inability to fit the ZCRM system of reminders, notifications and alerts into my productivity methodology.
THE PROBLEM
ZCRM does a poor job providing true synchronization of calendars and reminders with third party software. The Android App does not provide notifications when in the background. For today's mobile professional this is a big problem. Almost all productivity experts will tell you that the best way to ensure that you stay on top of your tasks and obligations is to have one central location where you can see what needs to be done. You should then be able to add new tasks, mark stuff as "Done" or change the status priority or due date of the things you have to do and have that info sync back to the original software/app.
MY SUGGESTION
Today many of the popular calendaring applications and notetaking apps allow people to add items via e-mail. Producteev, Evernote, Remember the Milk, and many others allow users to send e-mails to a "dropbox" where they can be automatically added.
I now use Evernote as part of my GTD (Getting Things Done) productivity system. The missing link for me is to have the ability for ZCRM to automatically send my task and meeting notifications to my Evernote e-mail box so they can be added to my to-do list.
Currently ZCRM - and all Zoho products - only allow users to send information to a single e-mail address. My suggestion is to simply add a method where when a user elects to send a notification e-mail they can specificy which e-mail address that notification will be sent.
EXAMPLE
I set up a work flow rule so that when a new lead is assigned I am notified via e-mail. Rather than have that e-mail sent to the e-mail address I use for accounting purposes and general correspondence I want that e-mail to be sent to Evernote (or any other app/program with a similar dropbox feature). I should be able to either select that e-mail address manually or have a way to set it up in the workflow.
ALTERNATIVE
Of course, if ZCRM were to do a better job of integrating true calendar and task sync with Google, iCal or other third party apps that would be even better.
However, after four years of waiting I am not very optimistic this will happen. Rather than have the ZCRM developers spend time and programming hours on countless potential integrations with many third parties it seems to me that adding the ability for users to have multiple e-mail addresses to accommodate the dropbox features of these other apps may be a much simpler and faster way to give me and other users the functionality they are looking for.
