BCC Dropbox Creates New Lead for Internal Users Resulting in Email Being Tracking for Internal Users

We have two rules in our Microsoft Exchange Server for handling for the Zoho BCC dropbox. We have the exact procedure in place with our current CRM system from which we are migrating (Bigcontacts).  Here are what the Exchange rules look like: 

  1. Incoming Rule:  If message is sent to "outside the organization" and is received by [internal user email address] then bcc to Zoho dropbox email.
  2. Outgoing rule is similar: If the message is sent "outside the organization" and received from [this same internal user email address] then bcc to Zoho dropbox email.
So the problem is that in certain instances Zoho is creating new Lead records for our internal users. Then another user can log into Zoho and read emails sent to this internal user. For example, if Jim sends an email to his wife then another user can log into Zoho and read Jim's message to his wife. Our company is such that we have to allow other Zoho users to see each other's leads.  

I did the live chat and they were unable to resolve this.
