We have an exciting announcement for blueprints; you can now add portal users as owners of blueprint transitions.
Portals in CRM allow you to expand your CRM reach to external parties to access modules, web tabs, and perform permitted actions by logging in with assigned permissions and organization-defined guidelines.
Blueprint on the other hand, optimizes your business procedures by capturing offline processes in Zoho CRM, simplifying automation, validation, and teamwork for more efficiency.
Now, let's have a quick look at the current limitation and the solution this enhancement brings!
What's the limitation?
With the current feature, you can configure blueprint to enable your CRM users to perform transitions between two states. For example, sales reps may own deals, but negotiators can perform transitions to negotiate with customers by satisfying conditions in a blueprint.
However, allowing only CRM users to perform transitions limits orgs from being more reachable to the customers, or making the business process alien to the customers.
Imagine a scenario where an insurance company provides vehicle insurance and has a customer portal where customers can interact with their CRM by updating their records or making claim requests.
However, once the claim request has been made and a specific blueprint takes over, the customers wouldn't have much to do without the help of the CRM users. For example, to facilitate the transition of a state that requires more comprehensive information about an accident, the customer must provide the details to the CRM user, who can then carry out the transition to enable the insurance claim to move forward.
This would eventually result in delay in resolving insurance claims.
What's the solution?
With the latest enhancements, you can now extend blueprint transition permissions to your portal users.
This would eventually speed up processes that would otherwise require data from customers and transitions done by users to be completed.
Points to remember
- Modules like Activity and Solutions, as well as attachments, tags, owner and user lookup fields, which are not compatible with portals, will not be visible to portal users, regardless of their presence in the blueprint transition process.
- Portal users won't be supported blueprints inside sandbox.
