Consolidate your workflows and be more productive - Introducing Multiple Conditions in Workflow Rules
Workflow rules in Zoho CRM helps you automate your routine tasks and save time. Usually, while creating a workflow rule, you'd provide the basic details of the rule, specify when the rule should be triggered and associate set of actions to be executed whenever the rule criteria is met. And you’d create a new workflow rule for every new automation that you required.
Not anymore! You can now combine multiple conditions and the corresponding actions to follow in a single workflow rule.
Let’s look at an example. You own a business with two Products - A and B. You recently conducted a trade show and acquired many leads, among whom few are interested in Product A and few others are interested in Product B. You might require sending a welcome email, follow-up with your lead in a couple of days and schedule a demo once they have been contacted. Associate these actions to the conditions specified in your workflow rule. You need not create different rules for each condition anymore. Combine up to 10 conditions in one workflow rule and associate set of actions to each of these conditions.
In the above scenario, you have two conditions and each condition has a set of actions to be automated as shown below:
Workflow Conditions
|
Actions to be associated
|
Leads interested in Product A, Lead Source is Trade show
|
- Send a welcome email to the lead specific to Product A
- Task: Follow-up in 2 days
- Task: If contacted, schedule a demo
|
Leads interested in Product B, Lead Source is Trade show
|
- Send a welcome email to the lead specific to Product B
- Task: Follow-up in 2 days
- Task: If contacted, schedule a demo

Track Actions Usage
Workflow rules are always associated with actions such as, email alerts, tasks, field updates, custom functions, and webhooks. Under Actions tab, you can now easily track the usage of your email alerts, custom functions and webhooks.
Also, we now have an improved Timeline that sends you instant notifications to keep track of the actions triggered in each workflow rule. Choose the relevant record and click Timeline to view status of all the upcoming and completed actions.
