Customize the sorting order of your picklist values

Greetings, we hope you are well!

We have a quick update on how picklists are sorted in Zoho CRM. Let's go!

Adding a picklist field to a record layout, helps you choose and associate value(s) conveniently from a drop-down menu.

These values can be independent or sequential in nature. For example, the values in the industry field are independent of each other, while the values in lead status or deal stage are sequential and are used to denote the progress of a record. To address different requirements, you can choose to display these values in alphabetical order or not. For instance, for a country field, the values can be alphabetically arranged and for the lead status field, the values can be arranged in the order entered.

Thus far, despite the preference opted in the picklist properties, when you sort the modules' list view or reports or dashboards based on the picklist values as ascending or descending, the records will invariably be displayed in alphabetical order only.

Now, to sort and view records in the same order as entered in the picklist field property, we have updated the sorting option as Entered order or Alphabetical order.

If the picklist is present in multiple layouts with different values or in different order, then you can choose to sort values for all layouts. This order will be applied globally across places like list view, reports, and dashboards.
On the other hand, if you choose to sort records alphabetically, you cannot sort the order manually.



P.S.:
  • The "Stage" picklist in the deal module already has the above behavior and the values are arranged using the Stage-Probability mapping option. Click here to know more about stage-probability mapping.
  • For existing customers, we are providing an option - Enable Now in the pick list's sort order preference. Once enabled by the admin, this update will take effect for all modules and all users in your organization.
  • For new signups, if the order selected is non-alphabetical, then the system will automatically enable this update without providing the enable now option.
That's about the update. We are opening this feature for all DCs in a phased manner. For more information about pick lists and sorting the order of values, refer to our help doc.
