Document owner, superadmin access

Dear Zoho Docs Team,

As far as i understand, if user uploads a document to workspace, physically it's uploaded to user's personal folder and then Zoho make something like shortcut/symlink for this doc to Workspace. Right?

So if user deletes the document, nobody will be able to open/edit/save it, right?

If user is fired and we delete his account, all his documents will not be available to anybody?

If so, please explain whether it's possible to have something like 'system' owner for documents? Or have some system storage so it will be the owner. Or have the group user belongs to as owner, so while the group exists the documents will be available.

Or is it possible to grant to superadmin access to all the docs/mail?

I've just realized that many of cloud systems (like Zoho, Google) do not "obey" real life "office" rules. When we used different local documents storages (starting from shared drive and ending with huge products) it wasn't possible the hired user can cause documents loss, it was possible for adminstrators to access/copy/backup all the documents and so on.

So could you please clarify this situation, tell us some best practices etc.?
