Firstly i will give a brief introduction to how im using Zoho CRM...
I have customised it so i can use it to enter and track jobs for my business. I have changed the "Accounts" module to "clients", the "contacts" module is now "customers" and the "cases" module is now "jobs".
Our "clients" are companies who send us "jobs" relating to "customers". So Zoho CRM will work well as you can easily link these 3 modules which will allow me to have "jobs" related to "customers" which are then related to certain "clients".
Once we start using Zoho to enter this information it will obviously link correctly as it is just a matter of filling the fields in which i have created. However before we can start entering jobs directly into Zoho i need to import all of our old data and thats where i am having problems.....
The issue im having is when importing all of our old data which is on excel spreadsheets into Zoho CRM im not sure of the best way to make sure the data is linked correctly. I have played about with this and i have managed to import a set of 14 records which do link correctly (the jobs link to the customers who then are linked with a client). This was easy to check that everything was ok because it was only 14 records however i have loads more to import which contain hundreds of records so im worried i won't be able to spot if there are any errors within the data e.g. duplicates etc.
My other issue is when I am importing data from a CSV file into the Zoho CRM "case" module. As a test i wanted to make sure if i accidentally imported the same case more than once that it would notify me so i wouldn't end up with duplicates, i have a field called "job number" which is set as a unique field in Zoho CRM however when i ran this test and imported the same data twice it created duplicates despite the "job number" field being set as unique.
If i am entering data directly within Zoho then it knows if i have entered a duplicate job number however it doesn't when i am importing data. Is there a way to prevent duplicate cases being created when i'm importing data?
