Email customers communicating and lead source extension numbers via Zoho Telephony

We have two tasks that we want to accomplish:
1) communicating with customers via email within ZohoCRM (without having to use an email provider such as Gmail or any other.
2) tracking the sources of traffic coming in via call through the use of an extension number (i.e. we in Facebook specify +1*phoneNumber*(extension number)) and when incoming with this extension, we will understand that this number was taken in FB.

For the first task, we have reached the stage where we can communicate with the client inside Zoho Mail, but there are no incoming emails in ZohoCRM. What are we doing wrong?

On the second task, we haven't found an add-on number setting to use. Where can we see it?
