GDPR Contd. - Announcing more features for GDPR in Zoho CRM

Continuing from our previous GDPR post, we are back again with more features for GDPR in Zoho CRM.

Data Source Tracking
Information about your records (Data Subjects) come into the CRM from multiple sources like forms, third-party integrations, import, etc. Zoho CRM will now fetch and display these sources along with additional details like website and form name in case of web form being the source, and portal name and department in case of Zoho Desk being the source. You can track this in the Data Source section under Data Privacy tab of your records.

Marking Personal Fields
GDPR aims at protecting all personal data. In Zoho CRM, we are honoring it by providing options to mark certain fields in your modules as personal fields for an additional layer of security. These personal fields can be further marked as 'normal' or 'sensitive' based on your discretion.

For example, you may choose to classify financial information, biometric data and medical records to be 'sensitive', and other information such as email address and company to be 'normal'.

Please note that the 'Manage personal fields' option will be available only in those modules that you have preselected for GDPR compliance like the Leads and Contacts modules. You can mark up to 30 fields as personal per module. 


You can also go to Compliance Preferences and enable 'Restrict Data Access through API' if you don't want personal field information to be shared.

Web form Double Opt-in
Double opt-in is one of the best ways to get better quality leads into your CRM. However, it is NOT a mandatory part of GDPR compliance. It involves getting confirmation twice before customer data is pushed into Zoho CRM. Once you enable double opt-in, a confirmation email will be sent to customers for additional verification. Double Opt-in can be enabled only if primary email field is included in the web form.
