How to easily view or export all info related to a potential?

Our sales process might be a bit unique.  We are a consulting business, and our process in many cases amounts to doing the work first, and then needing to show the client what work was done over the previous year in order to get paid for the next year.  We need to see easily all the emails sent, all the meetings, and any specific tasks associated not just with the potential, but also those that are associated with the company and all the contacts at the company.  There will generally be anywhere from 3-20 people at a Potential that we are communicating with regularly, and our primary goal with CRM is to be able to easily collate all this info together so that we can present it to the Potential at the end of the year.  I'd appreciate comments on how best to use Zoho to streamline this process.  Thanks.
