CRM Hack #13: How to export a select set of records without creating reports?
Hello Everyone !
The "More Actions" button - the one with three dots next to Import button - has useful options like Mass Email, Mass Convert, Zoho Sheet View, etc. Of these options, the "Zoho Sheet View" is an underdog feature whose utility is not known to many. Any view can be translated to a corresponding "Zoho Sheet View" from which the records can then be exported. This week's hack utilizes the tags and export option in Zoho Sheet to cut down on the need to create a report for exporting a select set of CRM records.
Here is the hack. The "Zoho Sheet View" gets hidden upon selecting any records. Upon selecting the desired set of records, create a new tag. Create a new view with this tag as the criteria. This presents just the records you selected in the first place. With the need for selecting records eliminated in the tag view, you now have the "More Actions" button with all the options including "Zoho Sheet View". Go ahead and export the records in desired format.
Here is how to do it:
1. Go to leads - click on all leads - and then just select the required set of records using the check box next to them.
2. Click on tags at the top and add a new tag.

3. Click on the drop down at the top left corner --> create view, add the newly created tag in the view criteria and save.

4. Click on leads,navigate to the newly created tag view, click on the "More Actions" button and - select "Zoho Sheet View ".
5. From the "Zoho Sheet View", click on File from the top menu and export the records in desired format.
Another utility of this hack is to send mass emails for select leads or contacts from any view.
