Immediate Offline Message When All Agents Are Unavailable (Queue Audio Profile)

Hello Zoho Voice Team,
We would like to request an enhancement to how the Offline status condition is handled when a caller enters a queue and no agents are available to answer the call.

Current Limitation:

At present, when a caller enters a queue where all agents are offline, the system still follows the standard queue flow:

Welcome Greeting is played - > Hold music begins -> Caller waits until the first interval cycle (e.g., 30–60 seconds) -> Only then is the Offline message played

This means the caller is initially placed into a standard waiting experience, even though the system already knows at the time of entry that no agent will become available.

As a result, callers are exposed to hold music that implies an eventual connection, when in reality no live response is possible.

Use Case:

A caller dials into support when all agents are logged off or when they are temporary unavailability due to meetings, breaks, or unexpected disruptions not covered by business hours logic

In these cases, the system still presents a standard queue experience before revealing that no agents are available.

Many callers abandon the call during this waiting period, before receiving any meaningful information or alternative options such as voicemail or callback.

Requested Enhancement:

We would like Zoho Voice to detect the all-agents-offline condition at the moment the caller enters the queue and immediately:

  1. Play the Offline message without waiting for the first interval cycle
  2. Immediately present available next-step options, such as: Callback request and Queue exit options

This would ensure the caller is informed immediately that live assistance is not currently available and can choose the most appropriate alternative without unnecessary waiting.

The Offline state is fundamentally different from a normal queue state. It represents a known terminal condition rather than a temporary waiting scenario, and therefore should not be treated as part of the standard interval-based announcement cycle.

Business Benefits:

  1. Eliminate misleading hold music when no agents are available
  2. Reduce caller confusion and frustration
  3. Lower abandonment rates by providing immediate actionable options
  4. Increase callback and voicemail capture rates
  5. Reduce unnecessary call duration and system resource usage
