Introducing note actions and dynamic visibility in Kiosk Studio

Hello all,

We are introducing enhancements to Kiosk Studio that will improve the product scope and meet your custom needs more precisely.

What's new?
  1. Add notes as Actions: You can add notes to CRM records as kiosk Actions, as well as insert merge fields in them.
  2. Set dynamic availability for kiosks: You can show or hide a kiosk in records' detail pages based on dynamic field conditions. 
Let's look at these enhancements in greater detail.

Add notes as actions

Kiosks now enable you to add notes to records of the same or other modules as via Actions. This action helps give other users clarity in relation to records. For instance, you can include a summary of previous kiosk actions as a note for future reference.

Quick example

A customer requests a conditional discount for signing their deal before the end of the month. The sales rep first clicks the conditional discount kiosk button on the deal record page and clicks "Yes" on the screen that appears to indicate that the customer requested the discount. When they click "Yes", an email is automatically sent to notify the customer of the discount.

To maintain a record of the customer's request for a discount, a note is simultaneously added to the deal record. In the bigger picture, these actions help maintain an automatic audit trail. Additionally, using merge fields in the Content box, you can mention the relevant deal owner's name in the note—perhaps asking them to proceed with further actions.

Here's how to configure it

While creating an action on the Kiosk Studio page:
  1. You can choose Add Note to add a note in a record as an action.

  2. While adding a note, you get to decide which records you want the note to be added to: CurrentRecord, Get record, New Getrecord. This way, you can choose the module and the records to which you want the note to be added.

  3. You can use the title, content, and attachment fields to build your note, as well as add merge fields to include record-specific values.
  4. You can access the attachments field if you've included file upload fields on any of the screens in the kiosk.

Dynamic availability of kiosks in record detail pages

Previously, the kiosk settings you configured when you wanted to publish a kiosk in record detail page—module and layout—were applicable to all records, without any dynamic choices. Now, you can set the visibility of a particular kiosk on record detail pages based on each record's dynamic conditions. Making kiosks dynamically available for specific records helps you reduce UI clutter in your CRM and improves contextual workflows.

Quick example

If you want kiosks exclusively on the record detail pages of those leads whose Lead Source is set as webform, you can do so by setting dynamic conditions on the kiosk while associating it to the record detail page.

Notes
Note: The dynamic conditions you set are evaluated when the record detail page loads, and not when the kiosk is being executed.

In line with the use case discussed earlier, let's configure the kiosk to show up on the record detail pages of only those records which are in the negotiation stage.


Likewise, you can add multiple other conditions to the kiosk to set its dynamic availability.
