
Day 3: Meera had created her first invoice. The numbers were right, but something still felt unfinished.
Her studio name was there, but the address did not look the way she wanted. Her logo was missing, and the invoice did not really feel like it came from her business.
Before sending the next one, she wanted to fix that.

The short version: start with your Organization Profile.
Add your business name, complete address, phone number, email, and website, and upload your logo. These details can then be used across the invoices you create. You can find the complete steps here: Organization Profile.
For most people, that should do the job.
But if you have already done this and something still doesn’t look right, your case may be a little different.

My details are saved, but the invoice header is still blank Having the right information in your Organization Profile is the first step. The next thing to check is whether your PDF template is set up to display it.
Go to Settings → PDF Templates → Invoices and edit the template you use.
Under Transaction Details → Organization Details, check whether the organization name, logo, and address are enabled.
Check the Organization Address Format as well. This determines which parts of your address appear and how they are arranged.
Preview the invoice once you are done.

One simple way to think about it: Organization Profile stores your business details. Your PDF template decides how those details appear on the invoice. So, if the information is correct in Settings but missing from the invoice, the template is a good place to check next.
My logo uploads but looks wrong There are usually two possibilities here.
Soft or pixelated — Check the image you uploaded. A tiny logo copied from a website or social profile may look fine on screen but lose clarity when used on a PDF. Try uploading a better-quality version of the logo.
Too big or too small on the invoice. You can adjust this from the PDF template.
Go to Settings → PDF Templates → Invoices → Edit → Transaction Details → Organization Details and use the Resize Logo option.

My address is complete but arrives cut off Before changing the address saved in your Organization Profile, check the Organization Address Format.
This lets you decide which address details should appear and the order in which they are displayed.
For example, you might want your address to appear as:
Business Name
Street Address
City, State – Postal Code
Country
Review the placeholders included in your Organization Address Format, rearrange them if needed, and preview the invoice again.
If all the required details are included but the layout still doesn’t look right, try a different PDF template or adjust the template formatting.
I am changing my business name A business name change is a good time to check more than just the name at the top of the invoice.
Start by updating your Organization Profile, and then preview an invoice to make sure the new information appears correctly.

Your organization address and contact details
The Organization Address Format used in your PDF template
Your logo, if your branding has changed
Your registered tax details, if the legal business information has changed too
If this is a legal name change, make sure the details on your invoices continue to match the tax and registration requirements that apply to your business.
If you are in the middle of a rebrand, it can also help to make the change at a clean point, for example, at the beginning of a month or accounting period. It simply makes things easier to keep track of later.
On your phone: You can take care of basic organization details from the Zoho Invoice mobile app. For more detailed PDF template customization, the Zoho Invoice web app gives you the full set of options.

A few quick checks can save you a lot of back and forth:
Check the Organization Profile. Make sure the information itself is correct first.
Check the PDF template. Confirm that the organization name, logo, and address are enabled.
Check the Organization Address Format. Make sure all the details you want are included.
Check the template you are using. If you have multiple templates, make sure you are editing the one used for your invoice.
Preview it once more. It’s always worth seeing the final PDF before it reaches your customer.
If it still doesn’t look right, send support@zohoinvoice.com the invoice number, a copy of the PDF showing the issue, and a short note about what you expected to see. That gives the support team a good starting point to check what is happening.
