Managing company's internal records

Managing company's internal records

We are digital marketing and digital product development company managing IT assets with custom module. For example, we have a module named "Servers" which we use to manage (only have details of the instance and not the actual management of servers) our customer's AWS cloud resources (EC2 instances). It's all good when the server belongs to one of our customers. We also have internal resources like servers we use for production, testing, development, proof of concepts, etc. What would be the best way to associate internal records? Is it correct to
  1. Create an "Account" with our company's name
  2. Create a "Contact", say my name and email and associate with the "Account" created
  3. Use look up to associate the contact/account with the records in "Server" module
I'm concerned that my emails will be mixed up as in the CRM my email is considered as the CRM user + as a contact. So whatever emails I send/receive will be linked to the Contact also. I don't want this to happen as it may as well belong to another lead or contact.

Any thoughts?
