Mass Convert Your Leads, Quotes and Sales Orders!
Gone are the days when you had to convert your records one after the other. For example, if you had to convert 50 leads to accounts and contacts, you had to convert each lead one by one.
Well, not any more! Now you can convert them all at one go. Mass conversion of records also applies to conversion of quotes and sales orders. Besides mass conversion, you can now also automate conversion of records by using workflow rules. Read on to know more.
Mass Conversion of Leads
There are two ways to mass convert leads.
- Select multiple leads from the Leads list view and mass convert them to accounts and contacts.
- If you are not sure of the exact leads to convert, you can set criteria using the Mass Convert Leads option under Lead Tools and convert all leads that meet the criteria into accounts and contacts.
When you mass convert the leads to contacts, the fields in the leads records are converted based on the settings in Lead Conversion Mapping.
Mass Conversion of Sales Orders and Quotes
Mass conversion of Quotes to Sales Order/Invoice and mass conversion of Sales order to Invoice follows the same process as that of leads conversion.
Simply select all the records you wish to convert from the required module’s List View and apply the
Mass Convert option to the selected records.
Automate Conversion of records using workflow rule
You can also automate the conversion of leads, quotes and sales orders.
Let us say you are required to convert a lead to a contact every time the Lead Status field has been updated to "Contacted". This process can be automated via a workflow rule.
All you have to do is set Field Update as the rule trigger and mention the Rule Criteria as
"Lead Status is Contacted". Then select
Convert as the Instant Action and select Contact and Account. Now whenever the
Lead Status of a lead is updated to
"Contacted", the lead will automatically be converted to an account and contact.
The same process is followed for automating the conversion of a quote/sales order.
Note that the
Convert action in a Workflow rule is available only when the following conditions are met.
- The Rule Trigger actions are Edit or Field Update.
- A Rule Criteria is specified in the workflow rule.
- If the 'Execute workflow only when the criteria is met for the first time' option is selected.
Besides converting a lead into an account and contact, you can also convert a lead to a potential using the Mass Convert or the Workflow Convert option. While converting the lead to a potential, you can select appropriate merge fields for dynamic values or specify a single value that remains common for all the leads.
