Need detailed instructions on how to use relational database functions with already imported files

I am new to Zoho, and am struggling to set up our basic system. I work for an educational nonprofit and I have no real coding experience, though I had maintained databases in Access and Excel.

I have two major forms imported from excel files. One  is our alumni records/contact info, etc. The other is a list of college records for these alumni, by term (so one line would be for one student one term at one school). It is a basic one to many relationship, and the records are linked with a long unique identification number for each student. I created a subform in the form for alumni records, and a lookup field in the enrollment records form, but I cant seem to make it so that the college records will show up for students who already have them. The subform has space for new records to be entered, but it doesnt show records the student already has.

We are trying to use Zoho as a case management tool with our college counselors. I need to set it up so that when a student is searched by name (either on pages or on the alumni form, whatever is easier), Their record appears with their contact info and everything, and along with it, you can see and edit their college records. I don't know how to make it so that these records automatically show up when you go to a given student's info, without the college counselor having to enter the long ID number that links them. I'm really struggling with this, and I would appreciate detailed instructions on what exactly I need to do and how to do it so that 1. the forms are successfully linked using the ID number without having to go in and click it for every student, and 2. student records can be searched in a way that will show both the student information and the alumni records and allow our users to edit them.

Please help. I'm very lost and struggling though i've watched dozens of tutorials and tried to figure it out.

Thanks so much!

Molly
