Now filter your records by multi-select pick list values from a dropdown with additional operators

Hi everyone, 

Here's an update to help you elevate your filtering experience. You can now say goodbye to the cumbersome string values in filtering places for your multi-select picklist fields and say hello to a dropdown interface.

It is now possible for you to filter your data with precision and accuracy with the convenience of displaying values in a dropdown just like in single picklist fields. For instance, when you filter your leads using the IS operator for a single picklist field, its values appear in a dropdown. However, in the case of multi-select picklist fields, the values needed to be manually entered and then they would appear in a string.This would prove to be quite challenging owing to the lack of awareness of all the values that existed in the system. It is to simplify that process that you can now view your multi-select picklist values in a dropdown and choose your option/s from it.

Introduction of new operators

Now that you have understood this feature update, let's move into the next update - the introduction of new operators, namely:

  • Includes All

  • Includes Any

  • Excludes All

  • Excludes Any

Note. You can select only 5 values for each multi-select picklist dropdown with the said operators.

Includes All

One of the multi-select picklist fields that the Zylker Travels has included in its leads form is Assistance Requirements.

The options it offers are:

  • Complete Package

  • Hotel Bookings

  • Travel Guides

  • Transportation

  • Flight Booking

  • Food Provision on Treks

A sales rep handling domestic customers wants to filter out leads who have selected Hotel Bookings, Travel Guides, and Transportation.

Robert Hamilton, Steven Whidden, and Larry Halstead are prospects who have opted for all three options. Therefore, while filtering out leads, when the rep selects the operator 'includes all', choosing all values, the said leads appear.

Includes Any

When the rep tries to filter out leads who have opted for any one of the options, the system throws up the names of eight records who meet the criteria.



Excludes All and Excludes Any


Excludes All

The rep wants to filter out leads who have not selected all of the following values from the activities provided:

  • Experience Fine Dining

  • Wineries and Vineyards

Following the same strategy (using the Excludes All operator) as has been mentioned above, the system throws the names of 10 records who meet the criteria. 



Excludes Any 

The rep now wants to filter out leads who have not opted for either of the said options. 



Note.

  • If a user opts for five multi-select picklist fields while filtering records with the new operators, they forfeit the ability to select any more multi-select picklist fields utilizing the same operators. The user can still opt for more multi-select picklist fields, but with different operators (not Include/Exclude).

  • In a custom view and smart filters together, only 5 multi-select picklist fields with the new operators can be used. For example, if a user utilizes four multi-select picklist fields in a custom view using the new operators, they can choose only one multi-select picklist field in smart filters using the new operators.

Note.

The updates - both dropdown as well as additional operators - will be available for Custom Views, Smart Filters, Reports, Portals, Analytics and GDPR. Eventually, it will be added to other areas of CRM as well.

This feature is being released in a phased manner.
