Fill in:

  1. Customer details
  2. Recurring profile name
  3. Billing frequency
  4. Start date & End date
  5. Goods or service
  6. Taxes
  7. Payment terms
  8. Automatic email delivery preferences

 Once configured, Zoho Invoice automatically creates and sends invoices based on your schedule.

A marketing agency manages monthly SEO and social media retainers for multiple clients.
      Instead of creating the same invoice each month, recurring profiles automatically generate and send them on schedule.

An IT maintenance provider bills customers quarterly for maintenance contracts.
      Recurring Invoices ensures every client receives the invoice at the right time without manual follow-up.

A co-working space is billed monthly for renting desk space and office access.
      Recurring invoices help ensure consistent billing and predetermined cash flow.

Important Action:

Before activating a recurring invoice, make sure your customers can clearly see what billing period they are paying for.

A recurring invoice that says: "Monthly Maintenance Cost" is good.

Alternatively, if it says, "Monthly Maintenance Cost (01 Mar 2026 - 31 Mar 2026) is even better.

This clarifies which service period is being billed, which month or cycle the invoice belongs to, and what they are approving and paying for.

When configuring the item description in a recurring invoice, use the placeholders:

%(dd)% %(m)% %(y)% - %(dd+30)% %(m)% %(y)%

When the invoice is generated, Zoho Invoice automatically replaces these placeholders with actual billing period dates.

A small detail like this can significantly reduce billing questions and payment delays.

 The easier an invoice is to understand, the faster it usually gets approved.

Things to Remember

Recurring invoices are more effective when the automation settings match your billing process. Take time to review the Recurring Invoice Preferences to set the invoice to Save as Draft, Create & Send Immediate or Create, Charge & Send. 

These preferences determine how hands-off your billing process can become.


IdeaPro tip: If you are new to recurring invoices, set up a recurring profile and make sure to preview the Next invoice by navigating to the Next Invoice tab in the recurring profile.

WarningWatch out: If your business offers variable services at an additional cost, or if you update prices often, it's important to set the recurring invoice preference to Create invoice as Draft, as you will need to add those before the invoice reaches the customer. Letting it send will end up in revenue loss and create friction.
