#7 Set It Once Benefit Forever

Every successful process begins with a strong foundation. Think about building a house. When the groundwork is stable, everything else stays firm. The same goes for invoicing.

When your invoicing system is set up properly from the start, you don't waste time fixing errors, chasing down details, or repeating the same task over and over. And when all of this can be done in just a few minutes while still achieving perfection, that's a process worth investing in.

Oqab Mohamed, President of Vaxstream, acknowledges the same: "It just takes me minutes to create and send customer invoices, and the system reminds them if they don't pay. Thank you for making my invoicing much easier."

The best invoicing systems are the ones you barely have to think about. When your invoice preferences are configured properly in Zoho Invoice, the system automatically handles repetitive tasks whenever you create an invoice.

Go to Invoices -> +New Invoice

Configure your
  • Invoice number format (small gear icon next to invoice # field)

  • Due Terms

  • Default Terms & Conditions

  • Customer Notes

This setup is important because configuring invoice preferences properly helps Zoho Invoice to:

  • Automatically apply due date.

  • Maintain consistent invoice numbering.

  • Add standard notes automatically.

  • Send payment reminders on time.

A few smart settings today can improve every invoice you send in the future.

Notes

Important Action:

Some businesses might require additional information to be added or collected during transaction creation and processing. Take a moment to configure your Custom Fields before you start invoicing regularly. Custom Fields let you record, store and display additional information across different modules in Zoho Invoice.

Go to Settings -> Invoices -> Field Customization
to include a custom field at the invoice level.

Similarly, you can create custom fields for Customers, Items, Quotes, Invoices, Payments & Expenses modules. Well-configured custom fields make your invoice more informative and help maintain structured records as your business grows.

Things to Remember

Invoice preferences are the invisible engine behind every invoice you will ever send. Get them right once, and the system handles due dates, numbering, standard notes and payment chasing for you automatically, every time.
IdeaPro Tip: Shorter payment terms like Net 14 instead of Net 30, combined with a polite payment note, often lead to faster payments without creating friction.
WarningWatch out: Changing your invoice number format after you have already started billing can create gaps or duplicate invoice records. In certain editions, invoice numbers must remain consistent and follow a sequential order. Any missing invoice numbers must be explained when reporting to regulatory authorities.
