My company does surveillance system projects. Once we receive an order confirmation from the client, we create a sales order in Zoho Books. Though we collect partial payments using retainer invoices, we convert the sales order to invoice only at the end after the entire project is completed.
Currently, we use physical delivery notes as proof of delivery of materials. The materials are not all delivered at the same time. They're procured as required as the project progresses. When it's time to collect the final payment, the delivery notes and a work completion report are attached to the invoice
This process isn't as optimal as I would like. I'd like to digitize the entire process and do it through Zoho Books. Or at least through my Zoho One package. Ideally, each time we deliver materials partially, my driver or the delivery person should be able to create a delivery note for the materials by choosing the sales order from a picklist and deleting the materials not yet ready for delivery. The driver should then be able to get an e-signature from the client contact person and press the submit button for recording the proof of delivery.
Zoho Books (global edition) can print delivery notes from the invoice. However, you don't have the ability to remove undelivered items from the delivery note making it useless for the way my company works.
Perhaps I'm missing something and there is a simple, elegant way to meet my requirement using Zoho Books that I don't see. Any ideas?
The solution should be
- easy enough that my driver or delivery person should be able to use it on their phone without much hassle
- should be able to get in-person signature from the client contact person at the delivery location
- shouldn't force me to pay more than I'm already paying for Zoho One.
