This second set of support features includes tools for roles, profiles, and webforms.
To access the admin tools, go to Setup > Data Administrations > Admin tools, you will be able to find all the available tools.
Why you need Admin Tools
Below are some of the main reasons why your organization's CRM needs Admin Tools:
CRM admins primarily work on mapping their organization's problems to CRM solutions. Admins not only have to create those configurations, but are also responsible for maintaining them. Workflows might be outdated, reports might no longer be valid, and so on—so it's important to monitor them periodically. All unused/outdated configurations should be removed to avoid chaos in the CRM account.
Organizations often have multiple admins working for them. Consider a scenario where one of them leaves the organization. The configurations they've created may or may not be relevant to the current CRM, and many of them will remain unused when the admin leaves. For this reason, it's important to monitor them periodically and remove all the irrelevant configurations. Doing so creates a path for a better working CRM.
Having an unused/outdated configuration in CRM might contribute toward a threshold limit for that feature. Some Zoho CRM features have limits on the number of certain configurations allowed (examples: workflow rules, templates, fields, and so on), so it's better to remove unused/outdated configurations in order to stay within these limits.
Admin Tools make it easy to remove unused/outdated configurations via a simple interface.
New updates to Admin Tools
In this second wave of features, Admin Tools enable you to remove unused roles, profiles, and webforms. The processes involved in removing these configurations are very similar to those of the phase one tools. The major difference is that the fields used for criteria creation may differ based on the feature in question.
Below are the fields available for roles, profiles, and webforms.
Once the result is generated, based on the field criteria, you can select and delete it accordingly.
History of deletion
Using the Admin Tools, you can view the time stamp of every deletion made.
Feature availability
That's all for this release, and this new set of enhancements is available for all partner accounts and customers in all DCs.
