Two Methods!
It is important for a company to make sure that the CRM account is free from duplicates records. Basically, there are two methods to keep a check on duplicate CRM data:
- One is to prevent creating duplicate records
- The other is to clean your existing data of all the duplicates.
For all those who are aware of the Zoho CRM features that help you eliminate duplicates from the existing records, I shall move on to the new feature that we released recently to take care of the former method. But if you are new to Zoho CRM, here is something that will help you clean up your existing data: the
Merge features. Using the merge feature, you can search duplicate records based on specified criteria and merge them into one.
Now what about preventing duplicates while adding leads/contacts in Zoho CRM?
Coming back to the new feature… there are numerous ways in which you can add leads and contacts in your Zoho CRM account like importing, using web forms, cloning, or just manually entering the record details. When these records enter your CRM system, duplicates can be created. How will you prevent creation of duplicate leads/contacts?
Simple! By comparing the email address.
Email address is unique for each individual. So when records are added in your account, Zoho CRM will immediately spot whether the email address that you are adding already exists for a lead or contact in your account. For this to work, all you need to do is enable the Email Address Duplication Check.
