Significant Data Problems over the last week

I want to let other users know about the problems our company has been having over the last week. Zoho has been notified about the problems via phone and e-mail. However, I thought it might be helpful for other users to be aware so they can benefit from what our company has learned.

Starting last Thursday several reports that we have been using for the last 2 years suddenly started pulling in unrelated records from the Recycle Bin. When we reported the problem to Zoho they advised us to empty our recycle bin. We said no. The recycle bin is there to serve as a fail-safe against losing records accidentally. We did not want to give up this feature that we are paying for. From our perspective, we have not altered the report definition in 2 years. If something has gone wrong it has to be on the Zoho side. Zoho is investigating the problem further. Until then we continue to get unreliable information in our reports. My guess is that while doing a seemingly minor code update there was an unintended consequence. Now comes the time consuming task of finding out what that bug is.

This morning we discovered that something has gone haywire with the storage and retrieval of records. One of our employees did a search for a Potential record to make an update. The Search returned a message that the record could not be found. The record was not in the recycle bin. This happened with a second record and we started to panic a little bit. At first we thought that the records had somehow been deleted from the system. Eventually we were able to locate the records by doing a search on the account name, then drilling down to the contact name and then finding the Potential Listed as a related record. But to be candid we now are not sure if other records have been effected in the same way or if other records may be missing.

The good news is that the records we thought were lost are still there. The bad news is we do not have a completely reliable way to locate and access them.
