Unwanted emails are a common challenge for organizations of all sizes. Without a structured spam control system, spam emails can flood user inboxes, expose sensitive data, and disrupt communication.
Zoho Mail's Spam Control feature gives administrators organization-wide control over how incoming emails are processed, filtered, and delivered, ensuring that only legitimate emails reach your users.
What is Spam Control in Zoho Mail?
Spam Control allows administrators to define organization-wide rules for managing incoming emails. This includes configuring spam processing types, setting up verification protocols, and maintaining Allowed, Blocked, and Trusted lists. Administrators can apply these controls to specific email addresses, domains, IP addresses, and even top-level domains (TLDs).
For more granular, condition-based filtering with a wider range of actions and the ability to target specific users or groups, administrators can use Incoming Rules.
How can administrators use Spam Control effectively in Zoho Mail Admin Console?
Spam Control in Zoho Mail gives administrators the tools to identify and handle spam, phishing attempts, and unauthorized emails before they reach users. This ensures a secure and organized inbox experience for all organization members.
Configure spam processing type: Define how incoming emails are processed for spam, whether the entire email, only the content, only the sender, or a combination is checked. Setting the processing type to Complete ensures thorough spam filtering at every level.
Configure email verification protocols: Define actions for emails that fail SPF, DKIM, DMARC, or DNSBL verification. Administrators can choose to permanently reject, temporarily reject, move to quarantine, or allow further processing of such emails.
Manage Allowed and Blocked Lists: Add specific email addresses, domains, or IP addresses to the Allowed List to bypass spam checks, or to the Blocked List to prevent their emails from reaching users.
Use Blocked Patterns to filter recurring spam: Add plain text or regular expression patterns based on sender address, subject line, or email content to automatically detect and filter spam. This is useful for blocking recurring spam that cannot be addressed by blocking a specific address or domain.
Filter emails by language or country: Block or allow emails based on the language they are written in or the country they originate from, helping filter out irrelevant or unwanted emails at the organization level.
