Template Enhancements in Zoho CRM
Email templates form an integral part of communication in CRM. Whether it is a welcome email that you automate to be sent to your leads, or a big deal alert you send to peers, templates are closely associated with your everyday CRM activities - and we want to ensure that your experience using them is seamless.
With that in mind, we have enhanced templates in Zoho CRM for better user experience and flexibility, with a few additional new features thrown in. Following are the top new features and changes you need to be aware of in order to use the latest version of templates in Zoho CRM.
What's new?
- Organization email introduced: You no longer have to purchase an additional user license to include your company email address. Zoho CRM now offers you the facility to configuring your Organization Email addresses separately. This lets you send emails using email addresses representing your organization.
- Template insights: Measure the performance of email templates with stats such as clicks, opens, user details and so on. Know which template is faring better than the rest and whether they are tied to workflow rules, macros, webforms etc.

- Better design and template management: Templates in Zoho CRM now have a better looking and well-organized list page. In addition to that, template management has been made easier by letting you create a folder, reorder and move templates from folder to another, mark templates as favorite, preview the templates, sort them, share folder with peers, etc., all in one place.

- Additional fields as merge fields: Now Signature, Company logo, User Role, Individual tax in % are available as Merge fields in the templates.

- New notification email introduced: Earlier, the emails to both users and the customers will be sent through the email address that was specified during creation. Now, while the emails to the customers will still be sent through the email address specified during creation, emails for the internal users will be sent through notifications@zohocrm.com.
What has changed?
- Character limit extended.
Previously the character limit of Email and Inventory were 64,000 and 32,000 respectively. Now the limits have been revised as 100,000 characters for both email and inventory templates. - The "From" and "Reply-to" fields are now independent of a template.
Earlier, these fields were part of the template, so you could send a template from a single email address only. Now, you can choose the desired from and reply-to fields in multiple instances across Zoho CRM, every time you select an email template. This includes, mass emails, auto-responders, approval process automation, workflow alerts and so on. However, for emails that you have already automated, the email ID will be taken from the template to avoid hassles for a brief period following this enhancement. Watch this space for further updates on details pertaining to this timeframe.
- No more footer.
Earlier, the footer was a separate component. You had to enter the footer content into it separately during template creation. Now you can just enter the footer content of the template at the end of the template body.
