Zoho Creator lets you schedule most of your routine tasks, to help you focus on the important stuff. You can automate things like:
- Generating invoices once a customer places an order.
- Generating monthly revenue reports.
- Setting up acknowledgment emails for users or customers.
With Zoho Creator, you even have the flexibility to schedule jobs that run multiple times a day, or at specific time intervals. For instance, you might want to set up workflows to send out a project progress email on a daily basis, or to back up your application data every 30 minutes, or to update something every hour. Let's look at how to do this.
Using the Date-Time field
By adding the Date-Time field to a Form, you can schedule a particular task to run on a Date-Time value and update that value automatically every time a job is executed. In this way, whenever a scheduled task runs, the Date-Time field value is updated, and the job is then executed again based on the updated Date-Time field value. You can use this method to schedule any job for specific intervals of time.
Example
Let's say, we have two forms "Form_A" and "Date_Form". A Form schedule is configured based on the Date-Time field in Date_Form, which adds a record to Form_A and updates the Date-Time field every time the job is executed. At the updated Date-Time value the schedule runs again, and a new record is added to Form_A after every interval you configured in for the task.
In this case, we're adding a new record in Form_A every 3 minutes to check if the frequency of task execution is working correctly.
Similarly, we can configure any set of tasks/scripts, like sending an email or SMS hourly instead of inserting a record like we did in our example.
