Tip #17: Task Dependencies in Project Templates

Tasks are the basic blocks of any projects. Their interdependencies drive the project and are a major factor in determining if the project stays on track. Setting dependency between tasks for every new project could be tedious. When you create templates for projects, you can also create dependencies between tasks and reuse them.

Setting up dependencies for project templates is easy. In the Projects page, go to Templates and select your project template. Click on Tasks and select Dependency view. You can view all your tasks and four columns: Duration , Start After , Predecessors , and Resource Names .


 
Duration: You can enter the number of days it takes for the task to complete. E.g. Task 2 takes 4 days to complete, enter the duration as 4 days.
 
Start After: You can specify when you want the project to start. The project start date will be taken as the reference point. You can configure the time in hours, days, weeks, or months. E.g. Task 1 takes 20 days to complete and is set to start after 1 day. So Task 2 can only start after 21 days or more.
 
Predecessors: Set dependencies for your tasks. E.g. If Task 2 is set as predecessor for Task 3, then Task 3 can start only after its predecessor is completed.
 
Resource Name: You can assign users for the tasks or choose to assign them when setting up a project.
 
When you set up a new project using the template, the dependencies will carry over.

                                                I believe that sorting of tasks helps managing the activities in a better fashion. You might second it too . By default, the tasks are listed chronologically. However, you can sort the tasks either by its title, start date, end date, priority, created by and percentage completion. All you have to do is, click the Task Sorting option and select the required criteria. Few points to be noted about task sorting: This option is available in the Classic View only (within My Tasks, Tasks & Milestones section).

                                                I hope the tip on task dependency helped in understanding how it works in Zoho Projects. In a real-time, the successor task may or may not start on the predecessor's completion date. On either case, a project management tool should allow the users to set dependency between tasks.
