Tom is an HR and he wants to bulk send onboarding letters to all the new employees, with each letter attached with the responsibilities unique to each employee's designation. Conventionally, since the attachment is unique to each employee, it would be manually added to the respective employee's letter. However, since Tom has to send out 200 letters, manually adding these attachments would be a strenuous and time-consuming process.
Using Writer, you can easily attach unique files to multiple letters at once.
Here's how:
1. Go to More Options > Automate > Merge using existing data.
2. Select the data source from where you'd like to add the merge fields from. Since Tom has the employee details saved in Zoho Sheet, let's choose Zoho Sheet.
3. From Choose Output, select the Merge and send via email option and click Proceed.
4. Click on Add attachment > Add Unique Attachment.
5. There are two options. The first option allows you to pick up the files from the field(spreadsheet/CSV) containing the attachment URL's.
6. The second option lets you pick the folder containing the attachments and then map the attachment file to the field value.
7. If you're choosing to pick files using the attachment URL, then click on Field Containing Attachment URLs and then select the field from the data source containing the URLs. Please note that the attached URL's must be publicly accessible.
8. If you want to pick the files from a folder, then click on Folder Containing Attachments. Now choose the attachment files from the folder and map it to the associated field name (each value containing a unique name). After you've finished, click Done.
9. If you wish to apply these settings for future merges, check the Remember these settings except for passwords (if any) for future merges option.
10. Tom now has all the letters ready to be sent with the correct unique attachments.
