Tip #26: Usa reglas de flujo de trabajo para diseños de módulo específicos

En capítulos anteriores de nuestra serie de Tips and Tricks para CRM en español comentamos lo que son los diseños de módulo en CRM, y vimos la posibilidad de establecer la conversión de posibles clientes cuando disponemos de varios de estos diseños en nuestro canal de ventas. Continuando con la temática, hoy os hablamos de la creación de reglas de flujo de trabajo (o workflow rules) que se aplican a los registros de un diseño de módulo determinado.

Tip #26: Usa reglas de flujo de trabajo para diseños de módulo específicos.

Pero primero, recordemos: ¿qué son las Reglas de Flujo de Trabajo? Son un conjunto de acciones (notificaciones de correo electrónico, tareas, actualizaciones de campo, etc.) que se ejecutan cuando se cumplen una serie de condiciones establecidas. En el caso de estudio de hoy, veremos mediante dos ejemplos cómo crear estas reglas para un diseño de módulo específico.

Tomemos el ejemplo de empresa que usamos en el tip anterior, en la que se ofrecen tanto productos a través de una tienda online como la organización de eventos gastronómicos. El módulo de Tratos varía de un módulo (Tienda) a otro (Eventos). En el diseño de módulo Tienda se captura la información de los productos que se venden, tiempo de entrega y control de stock; mientras que el diseño de módulo Eventos tiene un aspecto más parecido al de un proyecto donde se asigna el equipo que estará durante el evento y las tareas de preparación para el mismo. Esto sucede porque la empresa cuenta con dos procesos de venta distintos, y lo mismo se refleja en Zoho CRM.
Para automatizar los procesos utilizando las reglas de flujo de trabajo, puedes crear reglas distintas para el mismo módulo (Tratos) pero especificando las condiciones para cada diseño de módulo (Tienda y Eventos).

Ejemplo 1: Informar de la fecha de entrega de un pedido.

En el diseño de módulo Tienda dentro de Tratos hay un campo de Fecha de entrega. Cuando falten 2 días para la fecha de entrega, quieres que Zoho CRM te lo notifique para poder informar al cliente.
  1. Ve a Configuración > Automatización > Reglas de Flujo de Trabajo.
  2. Selecciona el módulo Tratos para la creación de la regla, y establece las condiciones de puesta en marcha.
  3. Determina la acción: Notificación por correo electrónico.
  4. Guardar.


Ejemplo 2: Confirmación de asistencia de los comensales al evento para revisión de recursos.

En el diseño de módulo Eventos dentro de Tratos existe el campo Comensales, que determina el número de asistentes al evento. Si este número cambia (o se actualiza), se notificará a la persona responsable para que revise si los recursos necesarios para el día del evento son suficientes. Así quedaría esta regla:
