How to update the existing records in Zoho CRM with form responses?
The Zoho Forms and Zoho CRM integration doesn't stop with creating a new record (you can check out our previous article on the topic here ). Existing CRM records can be modified and updated to a newer value, too. This can be useful when you want to modify records without manually searching and entering.
How it works?
This works by identifying the specific CRM record in the form so that its existing fields can be prefilled into the form fields ( how prefilling works ). Now, based on your needs, you can rewrite these form fields and save the form to update the record automatically.
How to configure?
Step 1: Include the Zoho CRM field
After creating a form that includes the fields you want to update on your CRM record, drag and drop the Zoho CRM field, and finish the setup . In the example shown below, the First Name, Last Name and Email fields will appear prefilled with the existingCRM data.
Step 2: Set up an integration under Update Record
Choose Update Record under the integration with Zoho CRM. Map the fields that you want to update (in the example, I've chosen Email, Phone, and Workshop). Note that only the CRM fields that you map here will be updated in the CRM record.
Step 3: Prefilling and updating forms
In a form, a particular record can be searched for using the Zoho CRM field, and when it's identified, its values will be prefilled. Values that need to be changed or entered can be entered into the form. Once the form is submitted, the updates will be saved automatically.
This can be a great time-saver—but that's not all! For more discussion on the different workflows in Zoho Forms that can help you work more efficiently with Zoho CRM, check out our upcoming series.
