Tip #5: Thanksgiving special - How to set up Vacation Reply in Zoho Mail



With the Thanksgiving holidays round the corner, the vacations are near! A lot of us will be out of our offices due to holiday plans, family gatherings, and vacation trips. However, the work doesn't come to a halt and neither does the flow of emails. Stay on top of your business communications by setting up your vacation auto response today. 

Zoho Mail helps you to setup your Vacation reply in Richly formatted text,  along with the time period for which the automatic vacation response should be active. You can also specify the minimum time interval after which the vacation reply needs to be sent to the same contact again.

Steps to setup Vacation Response in Zoho Mail:
  1. Login to your Zoho Mail account. 
  2. Navigate to Settings >> Vacation Reply.
  3. Click Add new Vacation Reply.
  4. Choose the account for which you want to add vacation reply. 
  5. Choose My contacts under 'Enable Vacation Reply for' option (To ensure that people already in your contact list alone get your vacation response and does not get sent to random email addresses.)
  6. Select the time interval, if you want the vacation response to be sent only for a particular time period each day. 
  7. Add the auto response interval for your Vacation reply - This will reduce the number of duplicate vacation replies sent to the same person, who sends you emails quite frequently. 
  8. Provide the Subject of your Vacation Response. Make sure that you have a 'crisp subject' that lets the recipient know that you havent read the email. 
  9. Add a detailed vacation reply content along with the details of when you will be back to office, and with alternate contact details if needed. 
  10. A sample available below:
    Hello,

    Thank you for your email. I’m currently out of the office until <last date of your vacation> to celebrate the Thanksgiving holidays. I will have limited or no access to email when I am away. 

    I’ll be sure to reply to your message once I resume work and start clearing the emails. In case you need some urgent assistance, please reach out to <Your colleague> at <email address>

    Happy Thanksgiving,

  11. Click Save to save the vacation reply. 
The vacation reply will be saved and will be sent only to your contacts who email you during the particular specified period.
