Trying to use Zoho to help team working on RFPs to collaborate together and get the proposal document prepared

Please give me ideas how I can effectively use Zoho to create workflow for responding to RFPs. Usually RFPs are worked on by virtual teams which come together based on expertise and ownership. For this same reason various notifications have to be set because the teams working on RFPs changes from each time.
